Configuration options
There are 3 main settings used by the import feature, which can be set in Driver Scheduling Admin settings. These settings will also apply to schedules that are not imported.
- Auto-Publish
- If enabled, saving the imported data as a new schedule will also immediately publish it.
- Overwrite Existing Schedule
- If set to “Yes”, then creating a new schedule from imported data will replace any existing schedule on the target date.
- Notify Drivers when schedule is published
- Enabled by default and will send driver notifications when a schedule is published.
- If not enabled, then no driver notifications will be sent out when a schedule is published.
- The not enabling option allows clients that manage their driver scheduling in an external system to make use of Digital Fleet features that require a published schedule.
Functionality
Steps to create a schedule from imported data
- On the Driver Scheduling page, select the Import tab
- Select "Import" from the control bar
- Select "Choose File", and pick the local CSV file you wish to import. The firsts rows from the chosen file will be displayed for reference. Use the dropdowns to match up the columns from the file with the Digital Fleet defined columns. If a column's selection is blank, that column will be ignored during import.
- These are the available columns, with their expected value types:
- Employee Name: Name of the user to schedule, in either “First, Last” or “Last, First” format. Either the Employee Name or Employee PIN can be used to identify the user, but not both.
- Employee PIN: PIN of the user to schedule. Either the Employee PIN or Employee Name can be used to identify the user, but not both.
- Start Time: Start time for the scheduled user. This is optional.
- The start time provided will be in the time zone of the user creating the schedule.
- Work Point Name: Point name for the scheduled user’s scheduled location. This is optional.
- Availability: Availability type (one of “On Call”, “Unavailable”, “Not Scheduled”, “Will Call”, “Sick”, or “Vacation”). This is optional.
- Work Type: One of the work types defined for this company. This is optional.
- Truck: Truck name assigned to the scheduled user. This is optional.
- Deadhead Point Name: Point name scheduled user should deadhead to. This is optional.
- Notes: Arbitrary notes for this schedule entry. This is optional.
- Select the "Import Data" button.
- The data from the file will be imported into the grid, with the column mappings you chose. Select the Save button in the control bar to save the changes to the grid, or Cancel to discard them.
- Any imported data which cannot be mapped to valid values will be flagged, and must be corrected before the data in the grid can be used to create a schedule. For rows with invalid data, you may also delete them or exclude them from the import.
- When the data in the grid looks correct, use the “Importing For Date” control to select the target date that you want to create a schedule for. Select the rows you wish to include in the schedule. You can toggle individual rows, or toggle all the rows using the “Import All” switch in the header row.
- Select “Save As Schedule” from the control bar. A confirmation dialog will open. Verify that the desired schedule date and import settings are correct, then select “Yes”. If the date you have selected already has an existing schedule, you must choose “override” to replace that schedule with the one you are importing.
- After selecting "Yes", the new schedule will be created.
