Maintenance Reminders allows users to schedule reminders for trucks in their fleet based on mileage, engine hours, or time ranges.
Accessing Reminders
Maintenance Reminders can be accessed by selecting “Fleet → Maintenance” from the main navigation menu. A user needs the “Maintenance Reminders” right to view or administer reminders.
Within the feature there are two main areas that can be toggled from a dropdown in the top right corner of the screen:
- Reminders - A list of any maintenance items that are pending or overdue
- Schedules - The configuration screen for determining how often reminders are triggered
Reminders
The Reminders page displays any maintenance items that are pending or overdue. Items that are scheduled but have not yet reached their warning threshold are filtered by default, but can be viewed by changing the filter settings in the header of the Due Status column.
Individual reminders can be Cleared via the control wrench, which removes them from the pending list. For recurring reminders this would also automatically create the next reminder.
Reminders that are Scheduled or Due Soon can also be Reset, which restarts the trigger evaluation based on the current time and/or current truck settings.
Schedules
The Schedules page displays any reminder schedules that are configured for your fleet. The listed schedules have threshold values which determine when and/or how often reminders are triggered, along with which trucks are targeted by those reminders.
Creating a schedule is done by clicking the Create New Schedule button in the control bar.
This action will launch a modal with configuration options for the new Service Schedule.
When creating a new Service Schedule, you have the following configuration options:
- Service Name and Description: Provide a name and detailed description of the service to be performed.
- Recurring Services: Automatically generate the next reminder when the current one is due.
- Truck Filtering: Specify the set of trucks and/or truck classes included in the schedule. All trucks in the fleet are include unless filters are applied.
- Reminder Triggers: Define one or more thresholds that determine when a reminder is marked as due soon or overdue for each truck in the schedule. If multiple triggers are used, the reminder will be due when the first threshold is met.
- Truck odometer
- Engine hours
- Date or time duration limit
- Notify Before: Set the duration before the configured threshold when the Pending reminder will be marked as Due Soon.
Example: Annual service reminder with a 2-week notice.
Engine Data Configuration
By default, engine data is sourced from Digital Fleet's DVIR feature. ECM data is also supported, but requires a truck to be outfitted with appropriate hardware. Please contact Digital Fleet support to have this option enabled.

DVIR: Odometer/Mileage and Engine Data will be retrieved from the truck’s latest DVIRs.

ECM: Odometer/Mileage and Engine Data will be retrieved directly from the truck’s ECM data (DF+, ATrack, etc.).
For schedules requiring engine data, we begin tracking reminders on trucks when:
- A new truck is added to a schedule, including
- The creation of a new schedule
- An update of trucks on an existing schedule
- An update of trucks within a truck class on an existing schedule
- Current engine data is received for the truck(s)
- Engine data is considered current if it has been updated in the past 26 hours. If current engine data cannot be found, then the reminder will not trigger.
NOTE: Date triggers are not limited by the existence of engine data and can be used as a fallback option, if engine data is unavailable. Example: trigger a reminder every 10,000 miles or 6 months, which ever comes first.
Alert Configuration
Users can be notified of Due Soon or Over Due services by using Digital Fleet's standard Alerting feature.
- Settings --> Alerts --> Select "Maintenance Reminders" for Type
The standard alert parameters apply, and will filter which trucks are included by the alert. If point filters are used, they apply to a truck’s Home Point.
There are two parameters specific to the Maintenance Reminders Alert, of which at least one will need to be selected to trigger an alert:

Service Overdue: the alert will include any reminder with status “Overdue”

Service Due Soon: the alert will include any reminder with status “Due Soon”
